Description


Job Purpose

Responsible for controlling stocks, conducting necessary analysis on their rotation, following-up on orders and shipments status, solving bottlenecks with 3rd parties internally and externally to ensure proper stock availability for smooth operations enrollment.
Responsible for the 'Supply Chain Processes' Enhancement.
Perform duties in accordance with Malia Group Policies and Procedures.

Duties and Responsibilities

On Procurement & Suppliers
• Confirm with the team and MIS the proper creation of new items on system to ensure timely invoicing
• Ensure proper order setting and validate required documents for each shipment before submission to stakeholders
• Optimize shipments processes in order to guarantee the best routing and shipping cost(s) while avoiding delays
• Follow-up with all involved parties on proper shipments delivery for orders, ensure complete reception
• Maintain all necessary data sources up to date to ensure accurate and on-time reporting and feedback when needed
• Support the team as needed in all operational functions (orders placement, shipment, freight, clearance, etc.)
• Conduct yearly suppliers’ evaluations and propose action plan to the GM to protect the company interest
• Review and validate the procurement side of legal agreements upon creation or renewal, to ensure alignment with the company interest
• Ensure proper payment for suppliers and take action in case of any discrepancies
• Follow-up on discrepancies as needed by liaising between the finance department and the supplier
• Confirm with the team the landed cost and the cost of goods to be finally approved on system (Check discrepancies and investigate root cause, take necessary actions)
• Participate in negotiation meetings upon new supplier agreement, to make sure the procurement terms and conditions are aligned with the company interest and objectives
• Lead and supervise Maliatec's office coordinators in UAE, Kuwait, Iraq, Algerie and Lebanon to ensure smooth running of the operation
• Recommend processes enhancement and follow up on its implementation with Maliatec's office coordinators

On Export and Cross Shipments
• Ensure proper order setting as per each country’s requirements, and validate required documents for each shipment before submission to stakeholders
• Make sure to abide by the Export process of the company and the Lebanese Custom's Law

On Stock Analysis
• Conduct stock analysis on a monthly basis to ensure a healthy stock level and take corrective action when needed
• Follow up with concerned stakeholders to discuss stock analysis reports, define Re-order Point Report and take corrective action when needed
• Advise on strategic procurement tactics aimed at enhancing stocks and procurement conditions

On Financial Management
• Follow-up on the proper compensation of suppliers on credit notes and submitted discrepancies report, and inform concerned entities internally of the proper compensation to update financial books
• Follow up with the Finance department to ensure proper consolidation of suppliers' accounts

On Reporting
• Prepare & submit monthly executive reports (lead time variation on system, cost variations, tracking of shipments, improvements reports, landed cost variations…)
• Lead on the development of departmental business plan

On Compliance
• Coordinate closely with the GM to create and update work-related policies and procedures aiming at improving performance and outcomes
• Cooperate in quality audits and provide necessary support as requested to ensure smooth enrollment of audits and spotting system non-conformities. Suggest optimal solutions for improvement
• Report supplier breach(es) and take necessary action as per legal agreement

On HR
• Contribute proactively with the Talent Acquisition Team in filling vacancies timely. Design/update related JD and on-boarding programs and ensure their proper understanding & implementation
• Celebrate achievements, highlight to PCM people with potential to offer them perspective for growth, issue misconducts and enroll under-performers in related program
• Provide direct reports with needed resources/tools and guidance to fulfill their role properly and set their training needs and development plan in coordination with L&DM
• Set direct reports annual Business Goals and required competencies and conduct quarterly feedback sessions to appraise their performance. Monitor continuously direct report productivity and take corrective actions in due time

Education
BA in Transport & Logistics, Management or any related field

Experience
Minimum 7 years of Experience in Supply Chain, Procurement and Logistics
